The short version: we collect only the data we need to run Jobs Help Squad, we never sell it, and you can request a copy or deletion at any time. This policy explains exactly what we collect, why, and how to exercise your rights under UK GDPR.
1 Introduction
This Privacy Policy explains how Jobs Help Squad Limited collects, uses, stores, and shares personal data when you use our website, applications, and services. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

4 How we use your data
- Run the Services: create your account, match candidates with roles, deliver messages.
- Improve the Services: analytics, A/B tests, debugging, training our matching models on aggregated, de-identified data.
- Communicate: account notifications, product updates, security alerts. Marketing emails only with your consent.
- Safety & compliance: detect fraud, prevent abuse, comply with legal obligations.
- Personalise: show you the most relevant jobs, candidates, and content.
5 Legal basis for processing
Under UK GDPR, we rely on the following lawful bases:
- Contract — to provide the Services you signed up for.
- Legitimate interests — to improve our product, secure our infrastructure, and send transactional communications.
- Consent — for marketing emails, optional analytics cookies, and any non-essential processing.
- Legal obligation — to comply with tax, accounting, and other applicable laws.
6 Who we share with
We never sell your personal data. We share it only with:
- Other users — when you apply for a role, the hiring partner sees your profile; when a hiring partner contacts you, you see their company details.
- Service providers — vetted processors who help us run the platform (cloud hosting, email delivery, analytics, payments). They act under our instructions and contractual data protection obligations.
- Authorities — where required by law, court order, or to defend our legal rights.
- Successors — if we are involved in a merger, acquisition, or asset sale, your data may be transferred. We will notify you before any such transfer.
7 How long we keep data
We keep your data only as long as necessary for the purposes set out above:
- Active accounts: for as long as your account is active.
- Closed accounts: 24 months from closure, then deleted or anonymised.
- Billing records: 6 years (HMRC requirement).
- Backups: rotated within 30 days.
8 Your rights
Under UK GDPR you have the right to:
- Access a copy of your personal data;
- Rectify inaccurate data;
- Erase your data (the "right to be forgotten");
- Restrict or object to processing;
- Data portability — receive your data in a structured, machine-readable format;
- Withdraw consent at any time (where consent is the basis);
- Lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
To exercise any of these rights, email [email protected]. We will respond within one calendar month.
9 International transfers
Some of our service providers are located outside the UK. When we transfer your data internationally, we use Standard Contractual Clauses (SCCs), the UK International Data Transfer Agreement, or transfer only to countries with an adequacy decision.
10 Security
We use industry-standard safeguards including TLS encryption in transit, AES-256 at rest, role-based access controls, and continuous monitoring. No system is perfectly secure — if a breach occurs that affects you, we will notify you and the ICO within 72 hours where required by law.
11 Changes to this policy
We may update this Privacy Policy as our practices or the law evolves. Material changes will be communicated by email and a banner on the platform at least 14 days before they take effect. The "Last updated" date at the top of this page is always current.
